Rental Agreement
We love hosting, and we want you to have the best possible experience here. To that end, it's critical that every adult in your party reads and acknowledges these policies and rules.
IMPORTANT: BY BOOKING WITH US, YOU AGREE TO ALL OF THESE TERMS AND CONDITIONS. FURTHER, YOU ENSURE THAT EVERYONE IN YOUR PARTY WILL ABIDE BY THE FOLLOWING POLICIES AND RULES.
STANDARD CANCELLATION POLICY
We strongly recommend the purchase of travel insurance for your own protection in the event that you need to cancel your travel plans.
All guest-initiated cancellations are subject to a 5% credit card processing fee.
If you cancel 30+ days prior to your scheduled arrival date, you'll receive a full refund, minus a 5% credit card transaction fee.
If you cancel less than 30 days from your scheduled arrival date, we will only issue a refund (minus the 5% credit card transaction fee) if we're able to secure another booking for your cancelled nights, and only up to the rate at which your canceled dates are rebooked.
COVID-19 CANCELLATION POLICY
With COVID-19 still spreading, we've been in the unfortunate position of having to refund cancellations at the very last minute, with too little notice to secure another reservation. As a small hospitality business, we're neither set up nor qualified to review the legitimacy of COVID-related cancellation and refund requests. For this reason, we will not be issuing refunds for cancellations due to COVID, or other medical or personal matters.
If there's a WA State mandated stay-at-home order and we're required by law to close, we'll issue a full refund.
SMOKE, ROAD CLOSURE & BURN BAN RE-BOOKING POLICY
If there is smoke, we'll issue a credit for you to rebook the same cabin at a later date, given the following conditions:
(1) The Purple Air sensor (located at the Timberland Library in the middle of Packwood) shows an Air Quality Index (AQI) reading that's 150+ at noon on your check-in date; and
(2) You contact us with this request prior to checking in.
If there's a WSDOT travel alert that prevents safe travel to Packwood, we'd be happy to issue a credit to rebook the same cabin for a later date if you contact us prior to checking in.
We don't allow refunds or rescheduling due to burn bans.
DAMAGE DEPOSIT PRE-AUTHORIZATION
Per the rental agreement when you booked, we will pre-authorize a $600 damage deposit for the card on file at the start of your stay. Your card will not be charged unless there are damages, and the authorization is released within 4 days of your departure.
UNREPORTED GUESTS
Double check the guest count on your reservation. Each guest beyond 2 is $25/person X total nights of your reservation. If your party size exceeds then number of guests reported and paid for in your reservation, then you need to cancel, or notify us before you arrive. Each unreported guest will incur a charge of $50/person X total nights in your reservation, deducted from your damage deposit; and party sizes that exceed the maximum number of allowed guests will incur an additional $150 penalty. No adjustments made for variable guest counts: if you book for 3 nights and you only have additional guests for 1 night, you'll be charged unreported guest penalties for all 3 nights.
GENERAL HOUSE RULES
Don't even think of throwing a party here. If your plans include keg stands, beer pong, Jackass stunts, loud music, or any other Animal House fantasies, please keep looking. You'll get evicted, annoy our neighbors, and forfeit your deposit. We promise, it will suck for everyone.
Check-in/out time is as stated in the listing. We cannot accommodate requests for early check-ins or late check-outs, no matter the season or circumstances.
Flushing anything but pee, poop or toilet paper is the surest way to ruin your stay and forfeit your deposit. You'll back up the septic system, which could have really foul consequences. The minimum charge to clear a septic clog is $500.
The maximum occupancy at each property is as stated in the listing. Parties larger than stated in your reservation will be evicted and extra guest fees will apply. See Unreported Guests, above.
The Washington Department of Natural Resources often restricts outdoor fires in the summer to prevent wildfires. Burning during a fire ban is dangerous; the penalties are severe, and any violators will be reported and evicted without negotiation or compensation. We'll put a large magnet on the refrigerator when there's a burn ban in effect; however, we also encourage you to check the Lewis County Blog for the latest burn ban restrictions throughout your stay.
The land surrounding our cabin is home to a vast array of wildlife. Cougars, bears, bobcats and coyotes have been seen around here. Supervise your children and pets very closely.
Amplified music is not allowed anywhere on the deck or in the front yard. This includes portable outdoor speakers.
The forest is as fragile as it is breathtaking. Be mindful of your footprint, and please do your part to respect and preserve this special place. Don't harm the trees, dump waste, litter, or burn anything outside of the fire ring. Bag your pet's poop every time.
Do not put anything but people and bathing suits in the hot tub. Soap, sand, candles, or just about anything but people will damage the equipment and result in a steep charge to your credit card on file.
As the registered guest, you're required to share this information with others in your party and take responsibility for any damage(s) they might incur during your stay.
Firewood and other emergency supplies are provided for emergency use only (such as a power outage). If you use the emergency supplies during any other time, a $50 replacement fee will be deducted from your damage deposit.
PHOTOGRAPHY/VIDEOGRAPHY
We're no longer allowing couples' professional photography sessions, no matter how casual or brief. This includes ceremony, elopement, wedding, getting ready, honeymoon and other similar photo shoots taken by a professional photographer/videographer. You're welcome to take photos of course, and we hope you'll tag us @littleowlcabin when you do; but professional wedding/couples' photography is strictly prohibited for reasons that are too many and varied to explain here. Before you send us an inquiry, please know that our heels are totally dug in on this one; we will not consider exceptions.
Use of the cabin for any other type of photo/video shoot that's conducted by a professional video/photographer will require a written approval, signed agreement, and fee in addition to the nightly rate. You'll need to contact us outside of this booking platform before booking. Any products or services you're proposing to shoot must align with our look, brand and values. Send us an email with a description of what you'd like to shoot, and for whom you'll be shooting, and we'll get back to you.
Please know in advance that we take this policy very seriously, and that violation will result in immediate eviction without negotiation or compensation, and possible legal action that will require you to appear in small claims court in Lewis County, WA.
SECURITY CAMERAS
We have one exterior security camera overlooking the driveway. You'll be recorded as you come and go. If you're uncomfortable with this, please get in touch before booking so that we can make an alternative arrangement.
EVENTS
We cannot host events of any kind, of any duration, no matter the guest count. This includes weddings, elopements, and receptions. Please, do not send us a booking request for your event--we cannot make any exceptions whatsoever.
PETS
Depending on the property, pets may be allowed. Please see listing for maximum number of dogs allowed, if any. We love the kitties, but not the claws and allergens. Cats are not allowed on the property.
SMOKING (TOBACCO AND CANNABIS)
Our indoor smoking ban includes tobacco, cannabis, e-cigarettes, and vaporizers. If we smell smoke or cannabis, you can expect a claim and charge to your credit card.
SUBLEASES AND TRANSFERS
Your booking is non-transferable, and no right to sublease is allowed or implied. The guest of record must be present at check-in and check-out.
WINTER DRIVING
We are accessible year-round from Seattle, Portland and points east. We're about 1,500 feet beneath the snow line for most of the winter. Snow isn't nearly as abundant or common here as you might think, but we will get blasted a couple of times a year. Our cabin is located on a county road that gets plowed when there's snow, but we still recommend AWD with good tire tread in the snowy months (generally January to March).
LOSS OF USE
If the violation of any of these terms and conditions should result in damages that would require the owners/operators to take the property out of use for a paid stay(s), then guest shall be liable for 100% of forgone revenue resulting from the loss of use, in addition to damages.
HOT TUB RULES
Do not introduce anything but people and bathing suits into the hot tub. Doing so will compromise the water quality and put your party at risk of illness.
We urge you to take a shower prior to entering the hot tub. Bringing excess body lotions, cosmetics, conditioners or bodily excretions into the hot tub will alter the water chemistry, and put you and your party at risk of infection.
We provide water testing strips. We urge you to use them prior to entering the hot tub, and contact us if you get unsatisfactory results.
We will withdraw $350 from your damage deposit if we have to drain/refill/reheat the hot tub ahead of schedule due to violation of these rules.
SAUNA RULES (for cabins with saunas)
Please bathe before entering sauna.
Always bring a towel with you to sit on.
Keep all food and drinks out of the sauna. Remember, NO GLASS
Don't put anything on top of rocks or heater, including water. This is a dry sauna.
Members of your party with known heart conditions should seek doctor advise as to whether use of a sauna is recommended
All guests should spend no more than 20 minutes at a time in the sauna.
Drinking alcohol and saunas do not mix! Please DO NOT use the sauna if you are under the influence.
Don't attempt to mess with the control box. if something stops working with the heater, please let us know and don't try to fix it.
Children under 18 must be supervised when using sauna.
HOT TUB, LOFT LADDER, BUNK BED and SAUNA WAIVER (where applicable)
Only guests declared with this booking may use the hot tub, loft ladder, bunk bed(s), or sauna.
In consideration for the utilization of the hot tub, loft ladder, bunk bed(s), or sauna by me and my guests, I understand and agree to the following on my behalf and on the behalf of my guests:
1. I am responsible for checking water quality in the hot tub prior to my use and my guests’ use. Test strips are provided onsite by ownership and can be used at my discretion during my stay.
2. I understand that by using the hot tub or sauna, I am assuming financial responsibility for all usage, breakage, and abuse of the equipment. This may include fees for extraordinary maintenance and repair incurred by owner in order to restore the hot tub, including heater and pump, after my sta
3. I understand that the owner reserves the right to change or cancel the continued availability of the hot tub or sauna without prior notice for issues related to care, maintenance, or safety and without resulting liability or obligations to me.
4. Owner is not liable for any loss or damage to my or my guests’ property arising out of my or my guests’ usage of the hot tub, loft ladder, bunk bed(s) or sauna.
5. I agree to refrain from using equipment that I determine to be defective or in need maintenance or repair. Should any equipment be in a state of disrepair, I will alert owner in lieu of using said equipment.
6. I understand that a risk of injury or illness is present when engaging in or utilizing a hot tub, loft ladder, bunk bed(s), or sauna, including but not limited to: overheating, skin irritations or reactions, dehydration, drowning, falling, concussions, bumps, bruises, and broken bones. I ASSUME ALL RESPONSIBILITIES AND RISKS OF INJURY, ILLNESS, PROPERTY DAMAGE, PROPERTY LOSS, AND DEATH THAT ARE ASSOCIATED WITH MY AND MY GUESTS’ ENGAGEMENT AND USE OF A HOT TUB, LOFT LADDER, BUNK BED(S), OR SAUNA. I understand that any failure to follow listed policies of owner may increase those risks and result in charges to my credit card on file related to any breakage, abuse of equipment, and abuse and negligence of the policies given to me.
7. I, ON MY AND ON BEHALF OF MY GUESTS, EXPRESSLY WAIVE AND RELEASE ANY AND ALL CLAIMS AGAINST OWNER ARISING OUT OF OR ATTRIBUTABLE TO MY ENGAGEMENT AND USE OF OWNER’S HOT TUB, LOFT LADDER, BUNK BED(S), OR SAUNA. I expressly intend for this release to bind my and my guests’ families while we are alive and our heirs, assigns, and personal representatives if we die. I understand that this release constitutes a waiver, release, discharge, and covenant not to sue owner because it prevents our families, heirs, assigns, and personal representatives from seeking medical reimbursement or making any claims or initiating legal proceedings against owner, whether on our behalf or otherwise.
8. I HAVE CAREFULLY READ THESE TERMS, INCLUDING THE RELEASE AND WAIVER OF LIABILITY, AND I KNOW ITS CONTENTS. I HAVE VOLUNTARILY ACCEPTED IT AS PART OF MY ACCEPTANCE OF THE HOUSE RULES AS MY OWN FREE ACT.
9. For purposes of these terms and conditions, “owner” means Wapiti Management LLC, a Washington limited liability company, and its members, managers, affiliated entities, employees, and agents.
DISPUTES AND CLAIMS
By booking our cabin, you are entering into an agreement with Wapiti Management LLC, to provide lodging and associated support services during your stay in exchange for your full and timely payment of all associated costs and fees. Any controversy, dispute or claim arising out of or relating to this agreement, including contract breaches, must be addressed exclusively with Wapiti Management LLC and brought in the State of Washington. Washington laws control the interpretation of this agreement.
